HR Administrative Assistant – Part-time

POSITION SUMMARY:    

The HR Administrative Assistant is responsible for running and coordinating the day-to-day administrative and reception duties of the location they serve. This role works very closely with all members of the HR team to provide excellence with general HR processing needs and other administrative duties required by the facility. Attention to detail, strong organizational skills and excellent communication are critical in this role.

 

ESSENTIAL JOB FUNCTIONS

  • Creates a welcoming environment, answers phone calls, greets visitors and conducts check in processes for those entering the facility.
  • Provides administrative support to ensure efficient operation of the office by carrying out administrative duties such as filing, copying, document organization, faxing, scanning, creating signage etc.
  • Performs inventory and production administration including printing of product labels for daily production needs, creates bills of lading for outgoing shipments, completes inventory management record keeping and other inventory duties as needed.
  • Conducts HR administrative processing including new hire entry, pay changes, employee information updates, file maintenance and other as needed.
  • Assists with uniform ordering and upkeep.
  • Supports site new hire orientation support and facilitation.
  • Ensures operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Provides information by answering questions and requests.
  • Maintains office supplies, personal protective equipment, lab production and sanitation supplies checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Receives deliveries, sorts and distributes incoming mail.
  • Supports WSI ‘great place to work’ initiatives and events.
  • Contributes to team effort by accomplishing related results as needed.

 

REQUIRED EDUCATION AND EXPERIENCE:

  • High School Diploma required
  • Three years of office administration support preferred

PHYSICAL REQUIREMENTS: 

  • Sit in a stationary position up to 80% of workday
  • Walk occasionally as needed to move about inside the office to access file cabinets,
  • office machinery, etc.
  • Use hands/fingers to handle or feel, operate, activate, use, prepare office related items.
  • Constantly operates a computer, phone and other office machinery, such as a calculator, copy
  • machine, computer printer, etc.
  • Climb stairs/ladders
  • Communicate verbally with employees and visitors
  • Vision requirements include reading computer screens, identifying colors, anticipating employees and visitors.
  • Ability to lift and carry office related items up 50 pounds as needed in the office (boxes of paper)
  • Works in general office conditions regularly
  • May be exposed to general manufacturing operations requiring personal protective equipment such as uniform, bump cap, safety glasses and hearing protection.

 

FINANCIAL RESPONSIBILITY:

  • Responsible ordering of office and orientation supplies

TRAVEL REQUIREMENTS:

  • Occasional local travel

Rare travel to other WSI locations

Part time, not benefit eligible

$13-$15 Per Hour
